If I were launching a new SME today, I would follow this exact four-phase blueprint.

Phase 1

The Web Foundation

I would refuse to pay monthly hosting fees for a bloated, slow WordPress site.

  • Domain Independence: I would buy my domain directly so I hold the digital keys.
  • Netlify Hosting: I would deploy a static, custom-coded site on Netlify. It provides blazing-fast edge delivery, impenetrable security, and zero ongoing maintenance costs.
  • AEO Readiness: I would format the site explicitly for AI Answer Engines, using the "40-word rule" for direct answers, strict Schema markup, and consistent NAP (Name, Address, Phone) data.

The Secure Core

I would build the entire company operations inside the Microsoft 365 ecosystem, but I would optimize the licensing to avoid wasting capital.

  • Strategic Licensing: I would buy Business Premium for the leadership team (for maximum security and desktop apps) and highly discounted Frontline (F1) licenses for staff out in the field.
  • Device Lockdown: I would use Microsoft Intune to quietly secure all company laptops. I would block external USB drives, revoke local admin rights to prevent random software downloads, and enable remote wiping in case a device is left in a taxi.

Phase 3

Communication & Data

I would implement strict, non-negotiable rules on how information flows through the business to prevent file chaos and email overload.

  • The SharePoint Rule: All company documents must live in SharePoint (the "We" space). Personal OneDrive is strictly for draft files only. No company IP gets tied to a single user's account.
  • The "No Internal Email" Rule: Email is treated like formal letterhead, reserved solely for client and external communication. All internal chatter, project updates, and quick questions happen exclusively in structured Microsoft Teams channels.

Phase 4

Automation & Consolidation

I would ruthlessly eliminate "subscription sprawl" and manual paperwork by leveraging the tools already included in my Microsoft license.

  • Killing Subscriptions: I would cancel Calendly, Zoom, and SurveyMonkey. Instead, I would use native Microsoft Bookings, Teams, and Forms to keep all data secure inside my own tenant.
  • Cloud Telephony: I would not pay a telecom provider for a legacy VOIP desk phone. I would route all business calls through Microsoft Teams Phone, allowing me to take client calls from anywhere while protecting my personal mobile number.
  • Paperless Field Work: I would ban paper site reports and WhatsApp photo drops. All field data would be submitted via a mobile Microsoft Form, and Power Automate would instantly log it into a central tracking sheet back at the office.
