Microsoft 365 for Irish charities and nonprofits: getting it set up properly
A practical guide for charity managers, boards and volunteers: who qualifies for Microsoft's nonprofit licences, how to register, which plans to choose, and how to set everything up securely and keep it that way.
Updated October 2026. Microsoft's nonprofit offers change often.
Eligible Irish charities and nonprofits can get up to 300 Microsoft 365 Business Basic licences free through Microsoft's nonprofit programme, plus discounted Business Standard and Business Premium. You register and get validated through Microsoft's Nonprofit Hub first; then the licences need to be set up properly: your domain, email, Teams, file sharing and security.
Your domain is the web address you own, such as yourcharity.ie. A tenant is your organisation's own Microsoft 365 environment: the place your users, email and files live.
What Microsoft offers Irish charities in 2026
Eligible organisations can take a free Business Basic grant for up to 300 users, and buy Business Standard or Business Premium at a nonprofit discount. Microsoft says the Business Premium discount is 75%.

Intune is Microsoft's tool for managing laptops and phones. It can apply security settings and remove charity data from a lost device. Multifactor authentication (MFA) is a second check at sign-in, usually a prompt on a phone as well as the password.
Microsoft publishes nonprofit prices in euro, ex VAT, on its Irish nonprofit plans page. Prices can also vary when you buy through a partner.
Usually yes, if you're a registered charity or a qualifying nonprofit with recognised legal status in Ireland, and your mission benefits the community. Microsoft makes the final decision.
Who qualifies in Ireland
Microsoft's eligibility rules list Irish organisations registered with or recognised by the relevant authorities in four ways. They must also operate on a not-for-profit basis, with a mission that benefits the community.
Approved bodies authorised for tax relief on donations.
Charitable organisations.
Sports bodies with a tax exemption.
Companies limited by guarantee operating on a nonprofit basis for the public benefit.
Who doesn't qualify
Microsoft excludes government bodies, schools, colleges and universities (they use Microsoft's education programme), professional, trade and commerce associations, political, labour and fraternal organisations, professional and semi-professional sports organisations, financial institutions, and individuals. A sports club with a Revenue tax exemption can qualify. A professional sports organisation cannot.
Northern Ireland and cross-border groups
Organisations in Northern Ireland are validated under Microsoft's UK rules (registered charities or HMRC-exempt charities), not the Irish ones.
How to register for Microsoft's nonprofit programme
Someone from your organisation registers through Microsoft's Nonprofit Hub, gives your legal details, agrees to Microsoft's nonprofit terms, and waits for validation. Once you're approved, you claim the offers and assign licences.
Get your details ready.
You need your legal name, a real public website (Microsoft advises against a social media page), your postal address, a landline or mobile number (not a VoIP or call-forwarding number), and your legal identifier. Have your Registered Charity Number (RCN), CRO number or Revenue reference ready, whichever applies. Microsoft asks for proof of registration. It does not publish one required number for every Irish organisation.
Register at the Nonprofit Hub.
If you have no Microsoft 365 yet, this creates your tenant, for example admin@yourcharity.onmicrosoft.com. If you already have Microsoft 365, sign in with your existing admin account and register that tenant, so you keep your users and data.
Agree to the compliance attestation.
You confirm the offers will be used only for eligible purposes.
Wait for validation.
You will get two status emails. It usually takes a few days, sometimes longer if Microsoft asks for documents.
Claim your offers
in the Nonprofit Hub or the Microsoft 365 admin centre, then assign the licences.
Can our IT provider register for us?
No. Microsoft says the person registering must be an employee or strategic volunteer of the nonprofit. A third-party IT provider cannot complete the registration for you. We'll guide you through getting your details ready and tell you what to expect, but someone from your organisation has to submit the registration. Once you're validated, we can take it from there.
Use a plain admin account that more than one trusted person can reach. Microsoft recommends an account that several authorised administrators can access, not one volunteer's personal email.
Which licences should a small charity choose?
Many small charities start everyone on the free Business Basic grant, then buy discounted Business Premium only for the people who need desktop apps or handle sensitive data, such as managers, finance and anyone working with client records.
Paid staff and board members
Granted licences are only for paid employees and unpaid executive staff: the board of directors, president, officers, executive director and executive programme directors.
Volunteers
Volunteers cannot use granted licences. They can be invited as guests with a personal Microsoft account, for Teams and shared files, or given discounted licences if they need a full account and an email address. Beneficiaries, members and donors are not eligible for nonprofit licences at all.
Microsoft discontinued the Business Premium grant and the Office 365 E1 grant from 1 July 2025. Existing grant licences stop at the next renewal date and do not renew. Microsoft recommends moving those users to the Business Basic grant or another nonprofit offer before then, so you avoid disruption and lost data, and suggests working with a partner to plan it. If your charity was using the old free Business Premium licences, check they've been replaced: users moved, security settings kept, nothing lost.
What has to be set up after you're approved
Approval does not configure the tenant. These are the jobs that make the licences usable and safe.
Your domain and email.
Connect your own domain, such as info@yourcharity.ie, and add the DNS records. Include the email security records SPF, DKIM and DMARC, so your mail is less likely to land in spam or be spoofed.
Admin accounts and roles.
Name at least two admins. Do not share logins, and give each person only the access they need.
Multifactor authentication (MFA) for everyone.
This is the single most important security step. A password on its own is not enough.
Shared mailboxes
for general addresses such as info@ and bookings@, instead of sharing one password.
Teams and SharePoint structure.
Create a site for each team or service, and set permissions so sensitive files (client records, safeguarding, HR) are open only to the right people. Our SharePoint vs OneDrive guide explains where files should live.
Volunteer and guest access.
Decide how guests are invited, what they can see, and how access is removed when someone leaves.
Devices (Business Premium).
Use Intune to protect laptops and phones, and to wipe charity data from a lost device. See our Intune device security guide.
Moving across.
Bring email and files over from Gmail, another provider or old laptops, and close the old accounts properly.
Joiners and leavers.
Keep a simple process for staff, board members and volunteers coming and going, including removing licences you no longer need.
Charities often hold sensitive personal data. Microsoft 365 gives you the tools to protect it, but GDPR responsibility stays with your organisation, so settle who can see what before you move files across.
Rules that keep your grant in good standing
Use the licences you're given, give them only to eligible people, and keep your attestation up to date.
85% active usage.
Microsoft expects nonprofits to keep at least 85% of granted licences in active use. Active means the person has used at least one Microsoft 365 cloud service in the past 90 days. Remove unused granted licences.
No sharing or reselling.
Licences cannot be shared, transferred or resold to other organisations, even within the same group. Groups with central IT get only one grant account.
Regular attestation.
Microsoft asks grantees to confirm again that they follow its rules. Missing that confirmation can remove eligibility.
Microsoft can audit and change the offer.
It can review tenants, and it can change or end offers at any time.
We're an Irish, Donegal-based official Microsoft CSP. We set up Microsoft's nonprofit licences for charities and nonprofits at a reduced rate.
The reduced rate covers setup. As an official Microsoft CSP, we can purchase the discounted nonprofit licences, including Copilot, and set up and configure the tenant. The charity must still submit its own nonprofit registration with Microsoft. We guide you through that. Microsoft decides who qualifies, and the grant licences themselves come from Microsoft.
Once you are validated, setup covers the tenant, your domain, email security, Teams and SharePoint, MFA and admin roles. For anything ongoing, such as joiners, leavers, usage and renewals, we make sure the arrangement suits your organisation and gives it real value. We'll give you a clear quote after a short call.
Copilot Chat is included with Microsoft 365 business plans at no extra cost. Microsoft 365 Copilot, the paid add-on that works inside your own email, files and Teams, is available to eligible nonprofits at a discounted price.
If your team has paid Copilot licences and wants to use them every day, our 6-Week AI Adoption Programme (€595 + VAT, start any time) builds the habit in 15 minutes a weekday. It needs a paid Microsoft 365 Copilot licence.
Frequently asked questions
Can an Irish charity get Microsoft 365 for free?
Yes, partly. Eligible charities and nonprofits can get up to 300 Microsoft 365 Business Basic licences free through Microsoft's nonprofit programme. Business Basic includes email, Teams, SharePoint, OneDrive and the web and mobile Office apps. Desktop apps and stronger security come with Business Standard or Business Premium, which are discounted for nonprofits rather than free.
Who is eligible for Microsoft's nonprofit offers in Ireland?
Irish organisations that the relevant authorities recognise as approved bodies for tax relief on donations, charitable organisations, tax-exempt sports bodies, or companies limited by guarantee run on a nonprofit basis for public benefit. They must be not-for-profit, with a mission that benefits the community. Schools, government bodies, trade associations and political groups are not eligible. Microsoft makes the final decision.
How do we apply for Microsoft 365 nonprofit licences?
Someone from your organisation registers through Microsoft's Nonprofit Hub, enters your legal name, a public website, your address and your legal identifier, and agrees to Microsoft's nonprofit terms. A validation partner checks eligibility, usually within a few days, and sometimes longer if Microsoft asks for documents. Once you are approved, you claim the offers and assign the licences.
Can our IT provider register our charity for us?
No. Microsoft says the person who registers must be an employee or strategic volunteer of the nonprofit, not a third-party IT provider. NuaVantage can guide you through what to prepare, but someone from your organisation has to submit the registration. Once you are validated, we can buy the discounted licences and set up and configure the tenant.
Is Microsoft 365 Business Premium still free for nonprofits?
No. Microsoft withdrew the free Business Premium grant, and the Office 365 E1 grant, from 1 July 2025. Existing grant licences end at the next renewal and do not renew. Business Premium is now discounted for eligible nonprofits. Microsoft says that discount is 75%. The free grant is Business Basic, for up to 300 users.
Can volunteers use our nonprofit Microsoft 365 licences?
Not the free ones. Granted licences are only for paid staff and unpaid executive staff, such as board members and officers. Volunteers can join Teams and shared files as guests, or take a discounted licence if they need their own email address. Members, donors and the people you serve are not eligible for nonprofit licences.
What happens if we don't use all our granted licences?
Microsoft expects nonprofits to keep at least 85% of granted licences in active use. Active means the person used at least one Microsoft 365 cloud service in the past 90 days. Organisations that fall short may risk future grants, so remove licences from people who have left or who do not use them.
Which Microsoft 365 plan is best for a small charity?
Many small charities put most people on the free Business Basic grant and buy discounted Business Premium for people who need desktop apps or who handle sensitive data, such as managers, finance staff and anyone working with client records. Business Premium adds device management and stronger protection against phishing and malware.
Can we move our existing emails and files to the nonprofit setup?
Usually, yes. If you already use Microsoft 365, you register that tenant and keep your users and data. A tenant is your organisation's own Microsoft 365 environment. If you are on Gmail or another provider, email and files can be moved across. Plan the move so nothing is lost and the old accounts are closed.
Does NuaVantage charge charities for setting up Microsoft 365?
Yes. Setup is at a reduced rate for registered charities and nonprofits. As an official Microsoft CSP, we can buy the discounted nonprofit licences, including Copilot, and set up and configure the tenant. Your organisation still submits the registration, and we guide you through it. The grant comes from Microsoft. Ongoing support is shaped to suit you and give real value. Book a discovery call for a clear quote.
Want your charity's Microsoft 365 set up properly?
A short call to talk through where you are now, whether you're likely to qualify, and what setting it up and looking after it would involve. Setup for registered charities and nonprofits is at a reduced rate. Any ongoing arrangement is shaped so it suits your organisation and gives it real value.
